Privacy Policy

Final Privacy Statement for URS PropertyShield. Effective January 01, 2026.

This Privacy Statement explains how United Restoration Services, Inc. ("URS", "URS PropertyShield", "United Restoration", "we", "us", or "our") collects, uses, shares, stores, and protects information in connection with URS PropertyShield services, our website, order forms, communications, and related services.

1. Scope of This Privacy Statement

This Privacy Statement applies to information collected through URS PropertyShield, including building documentation services, AI-assisted building review, Matterport 3D Scan Certified documentation, Digital Twin or remote walk-through access, floor-plan documentation, emergency-readiness review, reports, forms, scheduling communications, and related property documentation services.

This Privacy Statement does not replace any additional privacy terms that may apply to third-party platforms, including Matterport, payment processors, cloud storage providers, analytics platforms, or other vendors.

2. Information We May Collect

We may collect the following categories of information, depending on the service requested:

A. Client and Contact Information

  • Name
  • Company or organization name
  • Job title
  • Email address
  • Phone number
  • SMS notification consent and communication preferences, where applicable
  • Billing information
  • Property role, such as owner, manager, board member, facilities contact, or homeowner
  • Authorized representative information

B. Property and Building Information

  • Property address
  • Building type
  • Square footage or approximate size
  • Number of units, floors, rooms, or areas
  • Mechanical-room information
  • Utility shutoff locations
  • Access points
  • Emergency contact information
  • Building systems information provided by Client
  • Maintenance, restoration, or emergency-history information provided by Client
  • Areas selected for documentation

C. Photos, Scans, Digital Twins, and Visual Documentation

  • Photographs
  • Videos, if applicable
  • Matterport 3D scans
  • Digital Twin data
  • Remote walk-through views
  • Floorplan or layout documentation
  • Images of mechanical rooms, basements, common areas, hallways, units, roofs, storage areas, high-value spaces, or other documented areas

D. Documents and Uploaded Materials

  • Building documents
  • Prior reports
  • Maintenance records
  • Emergency plans
  • Insurance-related documents provided by Client
  • Vendor lists
  • Photos or files uploaded by Client
  • Notes, forms, questionnaires, or checklists

E. Website, Device, and Usage Information

If you use our website or digital tools, we may collect:

  • IP address
  • Browser type
  • Device information
  • Pages visited
  • Form submissions
  • Referral source
  • Cookie or analytics information
  • Date and time of visits

F. Payment and Transaction Information

We may collect transaction details related to purchases, invoices, and payments. Payment card or banking information may be processed by third-party payment processors and may not be stored directly by URS.

3. Sensitive Property and Security Information

URS PropertyShield may involve documentation of sensitive property information, including access routes, mechanical systems, shutoff locations, emergency contacts, security-sensitive areas, building layouts, storage areas, and interior visual records.

Client is responsible for determining what areas and information may be documented and for obtaining any required permissions from owners, tenants, occupants, boards, property managers, or other authorized parties.

Clients should not provide information that they are not authorized to share.

4. How We Use Information

We may use information to:

  • Provide URS PropertyShield services
  • Schedule site visits
  • Communicate with Client and authorized representatives
  • Prepare reports, scans, photos, floor plans, summaries, or other deliverables
  • Create Matterport 3D Scan Certified documentation or Digital Twin access where applicable
  • Provide remote building walk-through access where applicable
  • Review selected building information using AI-assisted or other internal tools
  • Identify practical documentation, readiness, or restoration-related observations
  • Process payments and invoices
  • Manage customer relationships
  • Maintain service records
  • Respond to questions, service requests, or emergencies
  • Send opted-in SMS, email, or other service communications related to PropertyShield alerts, document status, report follow-up, scheduling, and emergency-readiness coordination
  • Offer related restoration, documentation, or emergency-response services
  • Improve URS operations, templates, workflows, and services
  • Comply with legal, insurance, tax, regulatory, contractual, or safety obligations
  • Protect URS, Client, building occupants, vendors, or others from harm, fraud, or legal claims

5. AI-Assisted Tools

URS may use AI-assisted tools to help organize, summarize, classify, analyze, or prioritize selected information. These tools may be provided by third-party vendors or platforms.

When using AI-assisted tools, URS seeks to use information in a manner consistent with the purpose of providing the service. However, Client understands that use of digital tools may involve transmission to or processing by third-party service providers.

Client should notify URS in writing before providing highly sensitive, confidential, regulated, or restricted information.

6. How We Share Information

We may share information with:

  • URS employees, owners, managers, technicians, project coordinators, or authorized personnel
  • Subcontractors or service providers helping us perform the services
  • Matterport or other scan, floorplan, cloud, or digital-delivery platforms
  • Cloud storage and file-sharing providers
  • Payment processors
  • CRM, email, scheduling, analytics, or communication providers
  • AI-assisted review tool providers
  • Consultants, attorneys, accountants, insurers, or compliance advisors
  • Emergency service partners, restoration vendors, or specialty consultants when appropriate
  • Property owners, managers, board representatives, facilities contacts, or other Client-authorized recipients
  • Governmental, legal, regulatory, or law-enforcement authorities when required or appropriate

We do not sell PropertyShield building scans, property documentation, or Client building information as a standalone product to unrelated third parties.

We do not sell, rent, share, or transfer SMS opt-in information, SMS consent records, or mobile phone numbers to third parties or affiliates for marketing, promotional purposes, lead generation, or analytics. SMS-related information may be shared only with service providers, messaging platforms, carriers, or compliance partners as necessary to deliver requested text messages, manage opt-outs, maintain records, or comply with law.

7. Third-Party Platforms

Some URS PropertyShield deliverables may be hosted, processed, accessed, or delivered through third-party platforms, including Matterport, cloud storage providers, payment processors, email providers, CRM tools, analytics tools, or AI-assisted tools.

Third-party platforms may collect and process information according to their own terms and privacy policies. URS is not responsible for the privacy practices, security practices, availability, or terms of third-party platforms.

Client should review applicable third-party terms when receiving access to a third-party platform or deliverable.

8. Cookies and Website Analytics

Our website may use cookies, pixels, analytics tools, or similar technologies to understand website traffic, improve performance, measure marketing activity, remember preferences, or support forms and online ordering.

You may be able to adjust cookie settings through your browser. Disabling cookies may affect website functionality.

Website tools used: Stripe, website forms, email communication tools, secure file upload and storage tools, analytics tools, Google Analytics, Meta Pixel, CRM forms, payment tools, or other platforms if applicable.

9. Data Retention

We retain information for as long as reasonably necessary to provide services, maintain business records, comply with legal or insurance obligations, resolve disputes, enforce agreements, support future service needs, and operate our business.

Standard retention period: Modern privacy laws mandate that we keep collected data only for as long as it takes to fulfill the specific purpose for which it was collected. Once that purpose is met, the data is securely deleted, anonymized, or archived.

In practice, for URS PropertyShield:

  • Your building file — the records, photos, contacts, floor plans, and reports that make up your PropertyShield file — is retained for as long as your Readiness Updates coverage is active, so that it is there when you need it.
  • If your coverage lapses, your file is retained in a view-only state rather than deleted. Canceling or lapsing never deletes your data. We keep a lapsed file for twenty-four (24) months so that a returning client’s history is intact, after which it becomes eligible for deletion.
  • Your customer record — name, company, email, phone, and address — and your order and billing details — order reference, package purchased, amounts, payment status, and dates — are retained as ordinary business records, and for at least seven (7) years where tax, accounting, or dispute obligations apply, whether or not your building file is still held.
  • Our own work product — the report we produced, the findings and readiness scores behind it, our inspection record, and photographs taken by our team — is retained as our business record, including to review and improve our service, and is not removed by a deletion request. See Section 11.
  • If you ask us to delete your data, see Section 11.

Some information may be retained longer where required by law, contract, insurance, tax, dispute, safety, or operational needs. Third-party platforms may retain information according to their own policies.

When your uploaded material is deleted, those files are immediately removed from your building file and moved to a restricted area that is not accessible through the service, then permanently erased after thirty (30) days. This short window exists so that a deletion made in error can be undone; after it passes the files cannot be recovered by anyone, including us. Deleted database records may persist in encrypted daily backups for up to seven (7) days before those backups are overwritten. Nothing in either case is restored to active use in the meantime.

10. Data Security

URS uses commercially reasonable safeguards intended to protect information from unauthorized access, use, disclosure, alteration, or destruction. However, no method of transmission, storage, email, cloud hosting, file sharing, website operation, or digital processing is completely secure.

Client understands that building documentation, scans, photos, floor plans, and access information may contain sensitive property information and should be shared carefully.

11. Client Choices and Requests

Depending on the circumstances and applicable law, Client may request to:

  • Access certain information
  • Correct inaccurate information
  • Request deletion of certain information
  • Limit certain uses or sharing
  • Update contact or billing information
  • Request removal of access to certain digital deliverables

Requests may be subject to legal, contractual, technical, operational, insurance, tax, or recordkeeping limitations.

Getting your data back. On request we will provide a copy of your building file — your uploaded records and photos, your report, and the information you gave us — within five (5) business days.

Deletion. On request we will delete what you gave us: the files and records you uploaded, the information you submitted through intake, and the emergency contacts you provided.

We do not delete our own work. The report we produced, the findings and readiness scores behind it, our inspection record, and the photographs our team took at your property are materials URS created and owns (see our Terms of Service), and we retain them — including to review and improve our service. We also retain your customer record (name, company, email, phone, and address) and your order and billing details as described in Section 9, and a dated record that a deletion took place.

This means a deletion stops us holding the material you handed over. It does not mean we stop holding information about your property, because our report and our own documentation of it remain. We would rather say that plainly than let “deletion” imply more than it does.

Deletion of your uploaded material is permanent and cannot be reversed, so we will confirm with you before we run it, and we recommend requesting a copy of your data first. If you want more than this removed — your contact details, or our own records about your property — tell us and we will discuss what we are able to do, since some records must be kept.

12. Authorized Users and Sharing by Client

Client is responsible for deciding who may receive access to reports, links, Digital Twins, scans, photos, remote walk-throughs, floor plans, and other deliverables.

Client should avoid sharing access links or sensitive property documentation with unauthorized persons. URS is not responsible for unauthorized sharing by Client or by anyone who receives access through Client.

13. Children’s Privacy

URS PropertyShield is intended for property owners, managers, businesses, boards, facilities teams, institutions, and adult homeowners. It is not directed to children, and we do not knowingly collect personal information from children through URS PropertyShield.

14. Legal Compliance and Safety

We may use or disclose information when we believe it is necessary or appropriate to comply with law, respond to legal requests, cooperate with insurers or advisors, protect rights or safety, prevent fraud, address emergencies, enforce agreements, or protect URS, Client, building occupants, vendors, or others.

15. Business Transfers

If URS is involved in a merger, acquisition, sale of assets, financing, restructuring, or similar transaction, information may be transferred as part of that transaction, subject to appropriate confidentiality or legal protections where applicable.

16. New York and U.S.-Focused Services

URS PropertyShield is offered primarily for properties and clients in the New York Metro area and related U.S. markets. This Privacy Statement is intended for U.S.-based operations and may not address privacy laws outside the United States.

17. Changes to This Privacy Statement

We may update this Privacy Statement from time to time. The updated version will include a new effective date. Continued use of URS PropertyShield services after the effective date means the updated Privacy Statement applies prospectively.
